An accepted quote reserves the stock it needs, and converts into the sales order.

Shipping that updates the books

Shipping an order records its cost of goods sold from the stock it used, and the order shows when the shipment is delivered.

Each line invoiced once

The sales order is the billing record. Its invoice bills each line once, so an order is not invoiced twice.

Paid closes the cycle

Recording the customer’s payment marks the invoice paid and closes the order’s cycle.

Returns and credit notes

An approved return credits the customer’s invoice, and restocking the goods reverses their cost of goods sold.

What is order management software?

Software that tracks a customer order from the moment it is taken until it is paid: the stock it needs, shipping, invoicing and payment. In Loopency it is part of the same system as your inventory, purchasing and accounting, so the order is never re-entered anywhere.

Can an order be invoiced twice by mistake?

No. The sales order is the one billing record, and each of its lines is billed once.

Can customers accept a quote online?

Yes. Share the quote as a link. The customer opens it in a browser with no account, and accepting it needs a one-time code emailed to the address you entered.

What happens when a customer returns goods?

Record the return against the original invoice. When it is approved, the customer’s invoice is credited, and when the goods are restocked their cost of goods sold is reversed.

Does it connect to my online store or marketplace?

The integrations page lists what is available, in progress and planned. Importing from Excel or CSV works today.
