Data Usage Policy

1. Summary

  • Your business data is yours. We use it to provide Loopency to you, and for nothing else.
  • We do not sell it, and we do not use it to train AI models.
  • Loopency learns how businesses set themselves up from configuration decisions, never from your records, and never in a way that identifies your company.

2. Customer Data

Customer Data is what you and your team put into Loopency: customers, orders, invoices, employees, documents, messages and the rest. Jowgik processes it on your behalf to:

  • Store it, show it to the people and agents your permissions allow, and run the workflows, automations and reports you configure.
  • Answer questions and run agents you use, as described in the AI Usage Policy.
  • Keep the Service secure, prevent abuse, and fix problems.
  • Provide support you ask for.

Where Customer Data includes personal data, you are the controller and we are your processor under the Data Processing Agreement.

3. Setup Knowledge

When you accept, change or reject a setup suggestion, such as enabling a module or renaming a field for your business, Loopency records that decision in a separate knowledge store to improve suggestions for businesses like yours. A recorded decision contains:

  • What was suggested and what was chosen, as configuration (for example, which module or setting).
  • Whether it was accepted, changed or rejected.
  • The industry code, size band and region of the business.

It is stored under a one-way pseudonym, not your workspace or company name, and it contains no records, documents, contacts or amounts. Suggestions built from it are shown only as patterns across several businesses.

4. Service Data

We also collect data about how the Service is used and performs: sign-ins, features used, errors, performance, and AI credit and storage use. We use it to run, secure, bill and improve the Service. Logs are filtered so email addresses, phone numbers, card numbers and ID numbers are replaced before they are written.

Website analytics load only if you allow analytics in the cookie banner. They record pageviews, not the content of pages, and never page query strings.

5. Who Can Access Your Data

  • People in your organization, according to the roles and permissions your administrators set.
  • Agents you use, within the permissions of the role they work for.
  • Our staff, only when needed to provide support you asked for, to keep the Service secure, or when required by law.
  • Our subprocessors, only to provide their part of the Service, as listed on the Subprocessors page.

6. Retention and Deletion

We keep Customer Data while your subscription is active. When an account is deleted it is erased after a 30-day grace period, during which the deletion can be cancelled. When a subscription ends, you may request a copy of your Customer Data within 30 days, after which it is deleted as described in the Privacy Policy, unless the law requires us to keep it.
